INFORMATION NECESSARY FOR FIRST-YEAR STUDENTS, BUT NOT ONLY


1. How to sign up to the Library

First year students
First year students will be sign up to the Library after having gone through a mandatory library online training and passing the test. The account shall be activated within 24 hours and be valid throughout a year. After a year it shall be prolonged in any circulation desk in the Library. The cost of the prolongation is 10 zl.

PhD and post-graduate students
Library accounts for PhD and post-graduate students are created upon the student’s reques. To do so, the students shall report the case personally at the Circulation Desk, in any UG library. While signing up, they should have an electronic PhD or student’s ID and their identity card. In case of not possessing an electronic ID, one shall pay for the library card 20 zł.

PhD students from outside the University of Gdańsk with confirmation from supervisor
The students hand in they ID or passport, confirmation/comfort letter from their supervisor and fill out a declaration. PhD students acquire a library card. The fee is 20 zl.

Electronic student’s ID (ELS) is simultaneously a library card, which will be necessary while using the account and collecting books.

 


2. How to log in into the account  (Entry do the library catalogue)

login: reader’s ID number - for international students consists of the prefix 510000 and a four-digit student identification number, e.g. 510000 1234. 
password: by default is the eleven-digit number received in the dean's office - the same which is the password to the Student Portal.

Attention! The password shall be changed after first logging in, which can be done while logging in into the account (tab CONTACT/change password) or at the Circulation Desk in any University library.

 


3. Access to the Library collection

Circulation desk - rules of use

1. Renting books is possible exclusively for the owner of a valid library card, after showing the electronic student’s ID, which is simultaneously a library card.

2. The account is valid for 365 days since created. After a year it shall be prolonged. To do this, one shall go to any University Library with a valid ID card. The fee for prolongation is 5 zl.

3. Books available for renting have the status ”available”.

4. Book reservation: a book can be reserved if all the available copies of it have been borrowed. A Student can check on their library account which place on the waiting list they are (tab ORDERS). The system sends an automatic email with information concerning the possibility of collecting the book, which shall be collected at a given library within 5 days. After that time, the book will be place in the storeroom.

5. Students may borrow 15 books per month (including CDs and DVDs) with the possibility of prolonging the rental period by a month twice.
Students with a higher limit of loans (individual study mode, second major of studying or last year of studying) may borrow 20 books with the possibility of prolonging the rental period by a month twice.
Students with a higher limit of loans are obliged to report the change of their status at the circulation desk.

6. Books, CDs/DVDs and e-books readers are to be returned on time. The fee for exceeding the due day for returning the items (according to the Price List) is:
- books, CDs/DVDs from the collection available for renting and ebook readers - 0,50 zl/day for every single copy,
- books from the collection available for a short-term renting - 5 zl/day for every single copy.

7. Until all the reader’s commitments towards the Library are regulated, the right to use the loan service is suspended.
Information about the due date for returning the books are received via email.

8. Books ordered to the circulation desk awaits 3 days to be collected and those ordered to the reading room - till the end of the day.

9. Books are collected and returned at the site of their original placement.

Reading room - rules of use

1. Any person may use the reading room, without the necessity to register in the Library.

2. There function three ways of the collections circulating:

• Open stacks (in Polish Wolny dostęp)
Collections are classified and ordered in relation to the subject/scientific fields (The UG Library systematic classification) and within the fields alphabetically according to the author and in case of collective work according to the title. In order to find a given position one shall check out the classiffication number eg. H.10.2.1.0 in the online catalog. Books from open stacks have the following information given: the name of the library and the word Reading Room, eg. Reading Room II — BUG Oliwa) and a status: Non-Circulating

• ordering through the online catalog
Books whose localization is the name of the library (eg., BEkon and the status: Non-Circulating are ordered exclusively to a reading room. Ordered books awaits to be collected till the end of the day in which the order was placed.

• Ordering through placing separate request form
In specialised libraries devoid of open stacks, books and journals in the reading room (online catalog: the name of the library + Reading Room) are ordered through placing a separate request form.

 


4. Computers and the Internet

The Main Library

Computer terminals are located in all reading rooms at the Main Library. 

Access to the Internet is limited to the Library website (the library online catalogue), the University of Gdańsk website, the digital libraries and to all licensed databases and electronic periodicals subscribed by the Library. The bases of links can be expanded. Registered Patrons of the Library are welcome to suggest librarians other useful databases, websites and services for teaching and education. After the verification the new website will be available in 1 – 2 workdays. The computers are equipped with OpenOffice.

Computers with unlimited internet access and Microsoft Office 2010 installed are located on the 1st (1 computer station,) 2nd (2 computer stations) and 3rd floor (1 computer station). These computers are labeled with the description: "Station with the Internet". Priority in access to the computers have the academic staff and students of the University of Gdańsk.

 

Specialised Libraries 

Specialised Libraries: The Economic Library - Information Center, The Law Library, The Human Sciences Library and Neophilology Library have computers with unlimited internet access for people who have library account.

 

Wireless internet EDUROAM

Wi-Fi access is available in the following Libraries: the Main Library, the Economic Library, the Human Sciences Library and the Law Library 

Access to Wi-Fi is only for EDUROAM (education roaming) participants.

6. FAQ

1. May I order a book from the Economic Library to collect it at the Main Library?
No, the book shall be collected at the place of being ordered.

2. What is the reader’s ID number and the password?
The reader’s ID number for international students is a prefix 510000 and the four-digit student ID’s number, eg. 510000 1234. The password by default is the eleven-digit number received in the dean's office - the same which is the password to the Student Portal. Remember to change the password while logging for the first time.

3. I have forgotten my password. How can I regain it?
In order to regain your password, you should go to any circulation desk or generate it on your own. Click the link ”I forgot my password: placed in the tab ”log in” directly under the reader’s number and password.

4. Can I prolong the books after the due date?
Yes, on the condition the due date was not extended already twice or the book was not ordered by another reader. In such case, you should contact any circulation desk (after the due date has expired, you cannot change it on your own). You will have to pay a fine for the period between the due date for returning the book and the date of the prolongation.

5. I come from outside the Tri-City and the due date is approaching. What can I do?
If the due date for returning the book has not been postponed yet, you can do it online, by phone or e-mail. You can also ask a trusted person for returning the book; you do not need to do it in person.

6. Can anyone borrow the book on my behalf?
Yes, if earlier they had been authorized to do that at the Circulation desk. The person needs to have a valid ID.

7. I live in Tri-City but I study outside it. Can I borrow books from the Library?
You cannot. The right to borrow books from the University Library is limited to the University of Gdańsk students and students from other public Tri-City high schools.

8. What does it mean ”processing”?
It means that the book has been ordered and awaits to be collected. The book shall be collected within 3 days.

9. How long one needs to wait for the ordered book?
The time for the book to be ready for being collected is up to 30 mins.

10. If I returned the book but have not paid the fine, do I have the right to borrow anything?
No, till the fine has not been paid, you cannot borrow books.

11. From when is the fine for holding the book counted?
After 3 days of exceeding the true day for returning the book, the computer system stars to count the fine automatically.

12. What do the acronyms mean: BHum, BEkon?
BHum means Human Sciences Library and BEkon means the Economic Library.

13. Can I return the book in any library?
No, the book shall be returned at the place its being borrowed.

14. Why can’t I order books from the Main Library in Oliwa?
The Main Library does not possess a storeroom and readers have a free access to the collection so books cannot be ordered online.

15. Can I order books online so that they await me in the library?
Yes, but only from the libraries possessing a storeroom: the Economic Library, the Human Sciences Library and the Law Library. Book order through the loan service awaits 3 days to be collected and in case of the reading room — till the end of the day the order has been placed.

16. I am a first-year student. How many books max. can I borrow and for how long?
A first-year student may borrow 15 titles at a time, for one month*, CDs and DVDs included. There is a double prolongation by one month possible.
* Students with a higher limit of borrowed books (individual mode of studying, second major of studying or last year of studies) may borrow 20 books. Students entitled for a higher limit of borrowed books are obliged to report the change of their status to the librarian.

17. Is there a possibility to extend the due date of books?
The Reader can do it online twice, for one month if the book has not been already ordered by an-other student. Prolongation can also be conducted by e-mail or phone.

18. How much is the fine for book or CD/DVD/e-book readers overdue?
The fine for overdue documents is set up in the Price List and is as follows:
- books and CDs/DVDs from the collection available for loan and e-book reader -  0,50 zl/day for every single copy,
- books from the collection available for a short-term loans  - 5 zl/day for every single copy.

19. I have tried to order books online but there appeared a note that my order could not be finalized. Why?
The most common reason for that is: overdue books, expired library account (the library account shall be extended every academic year), exceeded limit of ordered items or commitments towards the Library.

20. Can I reserve a book borrowed by another reader?
Yes, you can. Students can also check the place of their reservation in a line. The system emails readers automatically about the possibility of collecting the ordered book; the book shall be collected within 5 days, after which it is transferred to the storeroom.

21. I am neither a University of Gdańsk student nor its academic staff. May I use the Library collections?
Everyone interested in the Library collection may use it on spot. The conditions of borrowing books are place in Circulation Regulations at the Library of the University of Gdańsk.
